1. Who is responsible for your information Site Reports Direct is operated by EnviroSolution Limited, company number 06943362. EnviroSolution Limited is the controller of personal information processed through this service.

2. Information we collect Depending on how you use the service, we may process:

• your name, company, email address and telephone number;
• site addresses, site boundaries, project descriptions and development information;
• order, payment-status and transaction-reference information;
• correspondence, uploaded files and information supplied during report preparation;
• technical and security information such as IP address, browser information, timestamps and audit records;
• records of consent, declarations, report issue, download and verification activity.

We do not need or intend to collect payment card numbers directly through Site Reports Direct. Payment details are handled by the payment provider used at checkout.

3. Why we use your information We use personal information to:

• respond to enquiries and provide requested information;
• create, price, accept and administer orders;
• prepare, technically review, issue and verify reports;
• arrange site access or obtain additional project information where required;
• take and reconcile payments;

5. Service providers and recipients We use specialist service providers to operate Site Reports Direct. Depending on the service and configuration, these may include hosting and infrastructure providers, Microsoft for business file storage and collaboration, SendGrid for transactional email, PayPal and/or Stripe for payment processing, mapping and environmental data providers, and controlled artificial-intelligence services used to assist selected extraction or quality-assurance tasks.

We share only information reasonably required for the relevant function. We may also share information with consultants working on your instruction, professional advisers, regulators, public authorities or others where necessary for the service or where the law requires or permits it.

6. Automated and assisted processing Some stages of the platform may use automated screening or AI-assisted analysis to organise data, identify items for review or prepare draft observations. These tools do not issue professional reports or make final technical decisions. Authorised people remain responsible for professional review and approval. 7. International transfers Some technology providers may process information outside the United Kingdom. Where this occurs, we require an appropriate legal mechanism and safeguards as required by UK data-protection law.

8. How long we keep information We retain information only for as long as reasonably necessary for the purpose for which it was collected, including delivery of the service and applicable contractual, professional, insurance, accounting, audit and legal requirements. Different categories of project and transaction records may therefore be kept for different periods.

Your rights Depending on the circumstances, UK data-protection law may give you rights to request access to your personal information, correction, erasure, restriction, objection, portability, and information about certain automated processing. These rights are not absolute and exemptions may apply.
